Cancellation Policy

Planning an outdoor trip is exciting, and we know cancellations can be disappointing. HeyHikers rarely cancels treks thanks to our ground operations, but unforeseen factors — weather, government regulations, or events beyond our control — can sometimes force one. The policy below covers both sides. We recommend booking at least two months in advance to secure your slot.

Refund schedule

Refunds are issued as a 1-year HeyHikers trek voucher. Cancellations must be made in writing, and charges apply from the date we receive your written notice. Days are counted from your trek start date.

• 21+ days before: 90% refunded as voucher (10% covers GST and processing)
• 15–20 days before: 70% refunded as voucher
• 7–14 days before: 50% refunded as voucher
• 1–6 days before: No refund
• No-show on Day 1: No refund

Rescheduling

• One free reschedule if requested 14+ days before start
• Inside 14 days: ₹2,000 reschedule fee per trekker
• Subject to seat availability on the new batch
• Price difference payable / credited as voucher

If we cancel the trek

You can choose: (a) full cash refund, (b) free reschedule, or (c) 18-month voucher. Reasons we may cancel:

• Unsafe weather (snowfall, landslide, flash flood)
• Forest or border permit denials
• Insufficient sign-up (minimum 4 trekkers)
• Force majeure (earthquake, civil unrest, government shutdown)

Mid-trek evacuation

• We coordinate evacuation logistics, transport, and emergency contact comms
• Costs above the trek package are borne by the trekker
• No partial refund — purchase travel insurance for this protection

Cash refunds (instead of vouchers)

• Trek cancelled by HeyHikers
• Documented medical emergency (with hospital records)
• Death of trekker or immediate family
• Government travel restrictions or visa denials
• Processed to original payment method in 7–10 business days

Voucher terms

• Valid for 12 months from cancellation date
• Non-transferable
• Usable on any trek in our catalogue
• Unused balance does not carry forward

We reward trekkers who keep coming back to the mountains with us:

• Trek with us again (any trek): Get up to 30% off on your next booking as a returning HeyHikers trekker
• Re-do the same trek with us: Get up to 50% off — because the Himalayas look different every time
• Discount is applied on the base trek price and cannot be combined with other offers
